Eagle Suites PTAC and Scrap Disposal Policy

Formal human resources and asset-control policy governing PTAC handling, equipment disposal, and recovery of value from company-owned assets.

Purpose

This policy establishes Eagle Suites requirements for handling non-working PTAC units and other company-owned equipment, furniture, fixtures, and materials that may have salvage or scrap value. The purpose of this policy is to protect company assets, ensure consistent handling of repairable equipment, and prohibit personal gain from the disposal of company property.

Scope

This policy applies to all Eagle Suites employees, managers, supervisors, maintenance personnel, and onsite staff at every property and work location.

Policy

Company-owned PTAC units, equipment, furniture, fixtures, and other assets may not be scrapped, sold, traded, removed, dismantled, or otherwise disposed of by onsite staff for personal profit, personal use, or personal benefit.

Any approved scrapping, salvage, recycling, or disposal of company-owned property must occur on company time, under company direction, and in accordance with company approval. All proceeds, credits, rebates, and scrap value generated from company-owned assets are the property of Eagle Suites and must be returned to the company.

PTAC Evaluation and Handling Standards

  1. Every non-working PTAC must be evaluated to determine whether it can be repaired.
  2. PTAC units that can be repaired onsite must be repaired and returned to service when practical and approved.
  3. PTAC units that cannot be repaired onsite must not be scrapped, dismantled for resale, removed from the property, or otherwise converted for any employee's personal benefit.
  4. PTAC units that cannot be repaired onsite must be clearly identified and stored in a designated holding area until the company provides further direction.
  5. Eagle Suites may send a qualified PTAC repair technician to inspect stored units and determine whether additional repair is possible.
  6. PTAC units confirmed as non-repairable will be removed from the property by the PTAC technician or through another company-approved disposal process.

Asset Disposal Controls

No employee may independently arrange, authorize, or complete the sale, scrap, recycling, removal, or transfer of company-owned PTAC units, equipment, furniture, or materials unless specifically directed by authorized company leadership.

Property leadership is responsible for enforcing this policy, communicating it to onsite teams, and ensuring that any company-owned item designated for disposal is handled in a documented and company-approved manner.

Policy Violations

Any violation of this policy, including unauthorized scrapping, unauthorized removal of company property, failure to preserve potentially repairable equipment, or retention of scrap proceeds for personal benefit, may result in disciplinary action up to and including termination of employment.

Effective Date

This policy is effective immediately and will remain in force unless replaced by a later written Eagle Suites policy.
